These Terms of Service govern your use of the Maple Strings website and your inquiry, booking, or participation in any Maple Strings event service.

By accessing this website, submitting an inquiry, booking a call, signing an agreement, making a payment, or using Maple Strings services, you agree to these Terms.

Please read them carefully. If you do not agree, do not use this website, submit an inquiry, or book Maple Strings services.

1. Who We Are

Maple Strings is operated by Doctor Maple LLC, doing business as Maple Strings.

Maple Strings provides thoughtfully curated live string music for weddings, private events, corporate gatherings, holiday programs, community settings, and related events in the Kansas City area.

2. Use of This Website

You may use this website to learn about Maple Strings, submit an inquiry, request information, book a call, or access related services.

You agree not to misuse this website, including by:

  • submitting false, misleading, or incomplete information

  • attempting to interfere with the website or its forms

  • copying, scraping, reproducing, or redistributing website content without permission

  • using the website for unlawful, harmful, or unauthorized purposes

  • attempting to access systems, forms, accounts, or data that you are not authorized to access

Maple Strings may update, modify, suspend, or remove website content at any time.

3. Services

Maple Strings offers live string music services that may include:

  • wedding ceremony music

  • wedding ceremony and cocktail hour music

  • cocktail hour, reception, or dinner music

  • corporate and organizational event music

  • private event music

  • holiday music programs

  • solo violin performances

  • string trio performances

  • community, church, library, and senior living programs

  • optional event lighting or other add-ons, where available

Services are scoped individually based on the event date, location, ensemble size, duration, setup needs, repertoire requests, travel, timing, venue requirements, and other event logistics.

Maple Strings may modify service descriptions, availability, formats, pricing, or offerings at any time. Any material change to a confirmed booking will be handled according to the signed agreement for that event.

4. Eligibility

By using this website, submitting an inquiry, booking a call, or entering into an agreement with Maple Strings, you represent that:

  • you are at least 18 years of age

  • you have the legal capacity to enter into a binding agreement

  • if booking on behalf of an organization, venue, couple, client, or event host, you are authorized to do so

  • the information you provide is accurate to the best of your knowledge

  • your use of this website and Maple Strings services does not violate applicable law

5. Inquiries, Quotes, and Availability

Submitting an inquiry does not reserve a date, create a booking, or guarantee availability.

Maple Strings will review inquiries based on event type, date, location, timing, ensemble needs, repertoire requests, setup requirements, service area, and overall fit.

Quotes are prepared individually and may depend on:

  • event date

  • location and travel needs

  • ensemble size

  • performance duration

  • ceremony or event timeline

  • indoor or outdoor setting

  • setup and venue logistics

  • repertoire requests

  • custom arrangement needs

  • equipment or lighting requests

  • rush booking needs

  • holiday or peak-date demand

  • other practical considerations

Pricing and availability are not confirmed until stated in writing by Maple Strings.

6. Booking and Payment

A Maple Strings event date is not reserved until:

1. the required event agreement has been signed, and

2. the required deposit or full payment has been received.

Unless otherwise stated in the signed agreement or invoice, a 50% deposit is required to retain and reserve the event date, and the remaining balance is due 14 days before the event date.

Payment may be processed through Dubsado, Stripe, or another payment platform. Maple Strings does not intentionally store full credit card numbers or complete payment card details on its own website.

If payment is not received by the stated due date, Maple Strings may treat the booking as unpaid and not confirmed for performance, subject to the terms of the signed agreement.

The signed agreement and invoice for a specific event control the payment schedule, deposit terms, cancellation terms, and any event-specific conditions.

7. Cancellation and Rescheduling

Cancellation and rescheduling terms for a specific event are governed by the signed event agreement and invoice for that booking.

Unless otherwise stated in the signed agreement:

  • deposits are non-refundable once paid

  • final balances are due according to the payment schedule stated in the invoice or agreement

  • cancellation within 14 days of the event may result in the full contracted balance remaining due

  • rescheduling is subject to Maple Strings’ availability and may require updated pricing, revised terms, or additional fees

All cancellation and rescheduling requests must be made in writing.

If Maple Strings is unable to perform a confirmed event due to illness, emergency, unsafe conditions, force majeure, or circumstances beyond reasonable control, Maple Strings will handle refunds, rescheduling, or substitute musician options according to the signed agreement.

8. Event Services and Client Responsibilities

Clients are responsible for providing accurate, timely, and complete event information so Maple Strings can prepare appropriately.

This may include:

  • event date

  • event location

  • venue name and address

  • event timeline

  • music start and end times

  • ceremony cues or program order

  • planner, coordinator, venue, or point-of-contact details

  • repertoire requests

  • guest count

  • indoor or outdoor setting

  • parking and load-in information

  • setup location

  • venue rules or restrictions

  • weather plan for outdoor events

  • accessibility, sensory, or room setup considerations, if relevant

  • any information that could affect performance, setup, safety, timing, or logistics

Clients are responsible for securing any venue permissions needed for live music, amplification, lighting, setup, vendor access, or performance.

Clients are also responsible for ensuring that Maple Strings has reasonable access to the performance area at the agreed call time.

9. Venue Access, Setup, and Outdoor Conditions

Maple Strings requires a safe, stable, and appropriate performance area.

Depending on the engagement, the client or venue may need to provide:

  • adequate space for the ensemble

  • appropriate seating, if requested

  • protection from weather

  • safe access to the performance area

  • nearby parking or clear load-in instructions

  • sufficient lighting

  • access to power, if amplification, lighting, or other equipment is used

  • a dry, level, stable surface

  • a performance location free from unreasonable noise, interference, or safety hazards

For outdoor events, instruments and equipment must be protected from unsafe or damaging conditions, including but not limited to:

  • rain

  • moisture

  • direct sun

  • excessive heat

  • excessive cold

  • high wind

  • unstable ground

  • inadequate shade or cover

  • nearby sprinklers, water features, or other hazards

Maple Strings may pause, relocate, delay, or decline to perform if conditions present unreasonable risk to musicians, instruments, equipment, or guests.

Outdoor performance decisions may be made by Maple Strings in its reasonable professional judgment.

10. Repertoire, Special Requests, and Custom Arrangements

Maple Strings selects and plans music with attention to the setting, tone, timing, and purpose of the event.

Clients may submit repertoire requests or special song requests. Maple Strings will review requests for:

  • musical fit

  • ensemble suitability

  • sheet music availability

  • licensing or publisher restrictions

  • preparation time

  • arrangement needs

  • rehearsal needs

  • event timing and flow

  • feasibility for the selected ensemble

Not every requested piece can be performed.

Special requests, custom arrangements, edits, adaptations, transcriptions, reductions, or additional rehearsal needs may require additional fees.

Custom arrangements or special repertoire are not confirmed until Maple Strings has reviewed feasibility and confirmed approval in writing.

Clients are responsible for communicating repertoire requests by the deadline stated in the signed agreement or planning materials.

11. Recording, Livestreaming, Photography, and Media

Recording, livestreaming, broadcasting, or commercial use of Maple Strings performances may require advance written permission.

Some music may be subject to copyright, licensing, publisher restrictions, venue rules, or third-party permissions. Maple Strings does not guarantee that all repertoire can be recorded, livestreamed, broadcast, or commercially used.

Media-related requests may require separate review, written agreement, licensing, or additional fees.

Maple Strings may photograph, record, or request permission to use images, audio, video, or testimonials from events only when permitted by the client, venue, and applicable event rules.

Maple Strings will not intentionally publish private event images, client names, guest images, corporate event details, private timelines, or identifying event information without permission.

Clients, guests, venues, planners, photographers, videographers, and other third parties may independently photograph, record, livestream, or publish event content. Maple Strings is not responsible for the privacy practices or publication choices of third parties who are not acting on behalf of Maple Strings.

12. Intellectual Property

All Maple Strings website content, service descriptions, proposals, planning materials, written materials, repertoire plans, cue sheets, set lists, custom arrangements, edited music, brand materials, logos, graphics, images, and other materials are owned by Doctor Maple LLC or used with permission.

You may not copy, reproduce, publish, distribute, modify, sell, license, perform, display, upload, or create derivative works from Maple Strings materials without prior written permission.

This includes, but is not limited to:

  • website copy

  • brand identity and visual materials

  • proposals

  • pricing materials

  • planning documents

  • event timelines prepared by Maple Strings

  • repertoire plans

  • ceremony cue plans

  • set lists

  • custom arrangements

  • edited sheet music

  • cue sheets

  • recordings or backing tracks created or provided by Maple Strings

  • client-specific music plans

Clients may use Maple Strings planning materials for the specific booked event only. They may not reuse, distribute, publish, or adapt those materials for other events, vendors, musicians, ensembles, or commercial purposes without written permission.

13. Confidentiality

Maple Strings will use reasonable care with private client, event, planner, venue, organizational, and contractor information shared during inquiries, planning, and event preparation.

Clients agree not to publicly share, reproduce, forward, publish, or distribute Maple Strings’ private proposals, contracts, pricing, planning materials, arrangements, internal communications, or business materials without permission.

This section does not prevent either party from sharing information as needed with professional advisors, venues, planners, contracted musicians, payment processors, business platforms, or legal and tax authorities where appropriate.

14. Third-Party Services

Maple Strings may use third-party platforms to operate the website, manage inquiries, schedule calls, process payments, prepare contracts, send invoices, communicate, and maintain business records.

These may include, but are not limited to:

  • Squarespace

  • Dubsado

  • Calendly

  • Zoom

  • Stripe

  • Xero

  • Google Workspace

  • Google Analytics

  • Squarespace Analytics

Third-party services are governed by their own terms, privacy policies, and security practices.

Maple Strings is not responsible for the content, availability, privacy practices, terms, errors, interruptions, or security practices of third-party platforms.

Use of third-party services is at your own risk and may be subject to separate agreements.

15. Privacy

Your use of this website and Maple Strings services is also governed by the Maple Strings Privacy Policy.

The Privacy Policy explains how Maple Strings collects, uses, stores, and shares personal information.

By using this website, submitting an inquiry, booking a call, signing an agreement, or using Maple Strings services, you also agree to the practices described in the Privacy Policy.

16. No Guarantee of Specific Outcome

Maple Strings provides professional music planning and live performance services with care, preparation, and attention to the event setting.

However, Maple Strings does not guarantee any specific emotional response, guest reaction, event result, atmosphere, audience behavior, client outcome, or third-party response.

Client satisfaction, guest experience, event atmosphere, and event flow may be affected by many factors outside Maple Strings’ control, including venue conditions, weather, acoustics, guest behavior, timeline changes, planner decisions, vendor coordination, room layout, sound environment, and event management.

17. Limitation of Liability

To the fullest extent permitted by law, Doctor Maple LLC’s total liability for any claim arising from or related to this website, an inquiry, a booking, or Maple Strings services shall not exceed the amount paid to Maple Strings for the specific event or service giving rise to the claim.

Doctor Maple LLC shall not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages, including but not limited to lost income, lost opportunities, reputational harm, emotional distress, event disruption, vendor issues, venue issues, third-party conduct, or other damages arising from the use of this website or Maple Strings services.

Nothing in these Terms limits liability where such limitation is prohibited by law.

18. Disclaimer of Warranties

This website and Maple Strings services are provided on an “as is” and “as available” basis, except as otherwise stated in a signed agreement.

Maple Strings makes no warranties, express or implied, regarding:

  • uninterrupted website availability

  • error-free website operation

  • accuracy or completeness of website content

  • availability for any specific date

  • suitability of any service for a particular event outcome

  • compatibility of third-party platforms

  • results from using the website or submitting an inquiry

Event-specific obligations are governed by the signed agreement for that event.

19. Indemnification

You agree to indemnify and hold harmless Doctor Maple LLC d/b/a Maple Strings, its owner, representatives, contractors, musicians, service providers, and affiliates from claims, damages, losses, liabilities, costs, or expenses arising from:

  • your misuse of the website

  • false, incomplete, or inaccurate information you provide

  • your breach of these Terms

  • your breach of a signed agreement

  • unauthorized recording, livestreaming, publication, or use of Maple Strings performances or materials

  • venue conditions, access issues, or unsafe setup conditions within your control

  • third-party vendor, guest, venue, planner, or organizational conduct outside Maple Strings’ control

  • your violation of any law, regulation, third-party right, copyright, licensing requirement, or venue rule

This obligation applies to the fullest extent permitted by law.

20. Dispute Resolution

If a dispute arises, please contact Maple Strings first at hello@maplestringskc.com so the parties can attempt to resolve the matter informally.

Maple Strings will make reasonable efforts to respond within 10 business days.

If informal resolution is unsuccessful, the parties agree to attempt mediation in good faith before pursuing litigation, unless emergency legal relief is necessary or mediation is not required by law.

Any legal action arising from these Terms, this website, or Maple Strings services shall be governed by the laws of the State of Kansas, United States, and brought in the appropriate courts of Kansas, unless otherwise required by law or stated in a signed agreement.

21. Governing Law

These Terms of Service are governed by the laws of the State of Kansas, United States, without regard to its conflict of law provisions.

22. Changes to These Terms

Maple Strings may update these Terms of Service from time to time.

When updates are made, the date at the top of this page will be revised.

For material changes that affect an active signed engagement, Maple Strings will communicate with affected clients as appropriate.

Your continued use of this website or Maple Strings services after changes are posted means you accept the updated Terms.
